The Vendor Account Specialist is responsible for managing vendor performance, fostering strong vendor relationships, and ensuring efficient property servicing across assigned portfolios. In addition, this role acts as a key liaison between Operations and Vendor Management, coordinating escalated orders, resolving issues, and ensuring vendors meet performance standards. The VRM Specialist combines analytical skills, proactive problem-solving, and strong communication to optimize vendor performance and maintain high service levels.

Job Description

Vendor Coordination and Assignment

Maintain and regularly update a qualified field service vendor list by state, ensuring adequate coverage and timely work completion.
Identify and escalate needs for additional vendor resources, collaborating with sourcing teams to onboard new vendors.
Act as the primary link between Operations and Vendor Management, handling escalated orders, prioritization lists, and vendor performance.

Performance Monitoring & Improvement

Monitor KPIs to identify trends, performance gaps, and improvement opportunities.
Conduct bi-monthly, monthly- and quarterly meetings with vendors to discuss performance metrics, address challenges, and propose improvements,
Provide feedback and support to ensure vendors meet or exceed Service Level Agreements.
Create visual reports and presentations using Excel and PowerPoint to communicate performance insights and recommendations.

Claims & Issue Resolution

Manage vendor legal or quality through designated platforms, ensuring prompt resolution to mitigate risks and maintain service quality.
Utilize problem-solving and critical thinking to address complex issues and recommend solutions.

Project Management

Track projects and tasks from initiation to completion, centralizing and compiling data for streamlined reporting and decision-making.
Manage multiple projects simultaneously, ensuring timely deliver under pressure while maintaining high standards.

Qualifications

Customer Service Experience – Demonstrated ability to manage and enhance vendor relationships.
Analytical Skills – Proficient in Excel for data analysis and visualization, with the ability to transform data into actionable insights.
Communication Skills – Strong verbal and written communication, adept at handling conflict resolution and conducting clear, concise conversations.
Problem-Solving Abilities – Capable of addressing complex vendor issues using critical thinking and a proactive approach.
Project Management Skills – Ability to manage multiple priorities and tasks simultaneously while meeting deadlines and maintaining quality.
Self-Management – High autonomous with proven track record of delivering results independently.
Technical Proficiency – Skilled in PowerPoint for creating professional visual presentations and in Excel for data-drive decision-making.
Interpersonal Skills – Excellent collaboration, organization, and prioritization abilities, thriving in high-pressure environments
