Job Description
PURPOSE
Works under the general supervision of the Administrative Coordinator and provides advanced administrative support to the Division of Research and Innovation (R&I).
RESPONSIBILITIES
Provides advanced administrative support for Division of Research and Innovation (R&I) staff. Maintains office schedules and appointments as needed.
Provides information regarding R&I administrative procedures, services, or programs to internal and external stakeholders.
Assists in the development of R&I office procedures.
Assists in the planning of special events for R&I. Assists with set up for meetings, seminars, trainings, and other special events to include facilities, equipment, and catering as needed.
Follows all TAMU-CC Procurement Card (Pcard) and Travel Card guidelines and internal R&I policies to remain compliant in transactions and reconciliations. Makes travel arrangements, prepares itineraries, and processes all reconciliations for select R&I leadership within a timely manner.
Maintains a variety of R&I fiscal, administrative, and research records. Verifies, processes, and reviews R&I forms, reports, tables, and other documents.
Maintains R&I office reference materials including online office materials. Delivers, picks up, or receives documents, supplies, or materials as needed.
Supports in the coordination of the maintenance of R&I files, records, office supplies, equipment, and/or furniture.
Supports in the coordination of the general maintenance of offices, conference rooms, and other areas in the R&I suites.
Assists in the management and supervision of R&I student workers, including schedules, training, and approval of timesheets.
Exhibits polite and professional communication in person, via phone, e-mail, mail, and teleconferencing.
Processes and maintains complex confidential matters.
Performs other related duties as assigned.
QUALIFICATIONS
High School Diploma or GED.
Four (4) years of related experience in related field.
Additional education may be considered as a substitution for the minimum experience requirements.
Intermediate skills in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, and Teams).
Strong verbal and written communication skills.
Maintain attention to detail and utilizes sound judgement.
Strong interpersonal, problem solving, organizational, and time management skills.
Ability to multitask and work cooperatively with others.
Ability to work with sensitive information and maintain confidentiality.
PREFERRED QUALIFICATIONS
Associate's degree or higher.
Some knowledge of research administration, compliance, development, and outreach fields.
Higher education experience.
Experience with Concur, Workday, and other relevant software.
Experience with teleconferencing software.
PAY RANGE:
$15.87 - $17.57/hour
